Refund & Cancellation Policy

This policy explains when fees may be refunded, how cancellations are handled, and what happens to payouts in cancellation scenarios. FoodieRow may update these policies at any time — continued use of the platform constitutes acceptance of the current posted version.

1. Vendor Application Fees — Generally Non-Refundable

The vendor application fee is non-refundable once submitted. This applies regardless of whether your application is approved, declined, shortlisted, or if the event is later cancelled or rescheduled by the organizer.

The application fee compensates FoodieRow for facilitating the application review process. The outcome of that review — and events outside our control — do not affect the fee's non-refundable nature.

Exceptions may be made at FoodieRow's sole discretion in cases of verified platform errors or fraudulent event listings. Contact us at support@foodierow.com if you believe you qualify for an exception.

2. Organizer Posting Fees — Generally Non-Refundable

Event posting fees are non-refundable once your event request is submitted and payment is confirmed. This applies even if you later cancel the event, change dates, change the venue, or the event receives no vendor applications.

Limited exceptions may be considered by FoodieRow at our discretion for:

  • Duplicate payments caused by a platform error
  • Events cancelled within 24 hours of posting due to a clear venue or logistical error
  • Other situations reviewed and approved individually by FoodieRow staff

Refund requests must be submitted to support@foodierow.com within 7 days of payment.

3. Organizer-Paid Gig Cancellations

For events using the “Organizer Pays Vendor” payment model, cancellation outcomes depend on how close the cancellation occurs to the event date, whether a vendor has already been approved or booked, whether the vendor has incurred costs, and whether the vendor has reserved the date for the organizer.

Organizer Cancels 7 or More Days Before the Event

If an organizer cancels 7 or more days before the event, the organizer may be eligible for a refund of vendor payout funds, minus FoodieRow platform fees, payment processing costs, and any approved vendor preparation costs. FoodieRow may also offer a credit instead of a refund at its discretion.

Organizer Cancels 3 to 6 Days Before the Event

If an organizer cancels 3 to 6 days before the event, FoodieRow will review the circumstances before determining whether a partial refund, credit, vendor cancellation payment, or payout hold is appropriate. Factors may include whether the vendor purchased supplies, declined other work, hired staff, reserved equipment, or otherwise prepared for the event.

Organizer Cancels Less Than 72 Hours Before the Event

If an organizer cancels less than 72 hours before the event, vendor payout funds may be held for review and may be partially or fully released to the vendor. FoodieRow may consider vendor preparation, travel, staffing, supplies, event communications, weather, venue issues, and other available evidence.

Same-Day Cancellation or Vendor Already Arrived

If the organizer cancels on the day of the event, after the vendor has arrived, during setup, or after the vendor has begun service, the vendor may be eligible for full or partial payout unless the vendor caused the issue or failed to meet agreed requirements.

No Automatic Refund or Payout

There is no automatic refund or automatic vendor payout for organizer cancellations. FoodieRow reviews available information and determines the appropriate outcome as a platform operator.

4. Vendor Cancellation, Late Arrival, or No-Show

Vendors are expected to honor confirmed FoodieRow bookings and event commitments. If a vendor needs to cancel, they must notify FoodieRow and the organizer as early as possible through the platform or approved communication method.

Vendor Cancels 7 or More Days Before the Event

Vendor cancellations made 7 or more days before the event may be accepted without account penalty, depending on the circumstances. Vendor application fees are generally non-refundable.

Vendor Cancels 3 to 6 Days Before the Event

Vendor cancellations made 3 to 6 days before the event may result in an account note, reduced visibility, or platform review, especially if the cancellation creates hardship for the organizer or event.

Vendor Cancels Less Than 72 Hours Before the Event

Vendor cancellations made less than 72 hours before the event are considered serious. FoodieRow may reduce the vendor's platform visibility, place the account under review, restrict future applications, or suspend the account depending on the situation.

Same-Day Cancellation or No-Show

Same-day cancellations, failure to appear, or arriving too late to reasonably serve the event may result in loss of payout eligibility, account suspension, removal from future opportunities, and/or other corrective action.

Organizer-Paid Gigs

For organizer-paid gigs, vendors are not eligible for payout if they cancel, fail to appear, arrive too late to reasonably perform, or fail to provide the agreed service, unless FoodieRow determines there were extraordinary circumstances.

Emergencies and Safety Issues

FoodieRow may consider emergencies, severe weather, unsafe site conditions, illness, vehicle failure, or other documented circumstances on a case-by-case basis. Vendors may be asked to provide documentation or a written explanation.

5. Vendor Pays to Vend — Booth Fee Refunds & Cancellations

For events using FoodieRow's “Vendor Pays to Vend” payment model, booth or vending fees are collected by FoodieRow through Stripe and held for event protection. These fees are not held in a deposit account and FoodieRow is not a financial institution.

Vendor Booth Fee — Generally Non-Refundable

Booth fees paid through FoodieRow are non-refundable as a general rule once payment is confirmed and the vendor spot is accepted. If a vendor cancels after paying a booth fee, the booth fee is forfeited.

When Vendors May Request a Review

A vendor may submit a refund review request to FoodieRow if:

  • The organizer cancels the event after the vendor's booth fee is paid
  • The vendor is denied setup or access at the event without justification
  • The event is materially changed from what was posted (date, location, or terms) after booth fee payment

Refund review requests must be submitted to support@foodierow.com within 14 days of the event date. Refunds are reviewed on a case-by-case basis and are not automatic or guaranteed. FoodieRow's determination is final as a platform operator.

Off-Platform Booth Fees

For events where an organizer collects booth fees directly outside of FoodieRow, those arrangements are between the vendor and organizer. FoodieRow is not a party to off-platform booth fee transactions and cannot process refunds or resolve disputes for them. If you believe an organizer misrepresented their refund policy or acted in bad faith, report it to support@foodierow.com.

6. Dispute Review Process

All refund and cancellation disputes are reviewed by FoodieRow staff. We may request documentation, message history, photos, or other evidence before making a determination. Our decisions are final as a platform operator, though we aim to be fair to all parties.

7. Refunds at FoodieRow Discretion

Except as described above, all fees paid on FoodieRow are non-refundable. FoodieRow may, at our sole discretion, issue credits or refunds in exceptional cases. Issuing a credit or refund in one situation does not create an obligation to do so in any future situation.

8. Chargebacks & Unauthorized Payment Disputes

If you initiate a chargeback or payment dispute with your card issuer or bank for a legitimate FoodieRow transaction, we reserve the right to suspend your account pending review, provide documentation to the payment processor, and seek recovery of any funds improperly reversed.

If you have a concern about a payment, please contact us at support@foodierow.com before initiating a chargeback. Most issues can be resolved faster through our support team.

9. Promotional Purchases

Promotional feature purchases (featured event listings, vendor profile boosts, etc.) are non-refundable once the promotional period has begun, even if unused or if you close your account during the promotional period.
